About the job

The Payroll and Benefits Specialist role at Vynca offers an exciting opportunity to dive into various facets of payroll, benefits, and compliance within a dynamic, expanding company. We are seeking a dedicated and motivated individual to manage payroll processes across our expanding presence in 28 states. The ideal candidate will have a strong passion for payroll and benefits, excellent attention to detail, and the ability to multitask effectively in a fast-moving environment.

This is a fully remote position based in the U.S., but please note our core operating hours currently align with Pacific Standard Time (PST).

What you’ll do

Payroll Administration

  • Review and process bi-monthly payroll in Rippling (HRIS)
  • Verify the accuracy of payroll information and resolve any discrepancies
  • Review employees’ wages, deductions, taxes, and other adjustments
  • Assist employees with payroll-related questions or concerns
  • Generate reports on payroll and benefit costs, deductions, and contributions
  • Ensure compliance with garnishment orders and respond to interrogatories
  • Research and gather required documents to set up required tax accounts in new states
  • Research payroll tax payments and data discrepancies with federal, state, and local agencies, and work with tax agencies as well as internal staff for resolution
  • Prepare payroll-related tax filings and reports as required
  • Implement and maintain payroll processes

Benefits Administration

  • Administer employee benefits programs, including health insurance and retirement plan
  • Assist employees with benefit enrollment, changes, and inquiries
  • Review monthly benefit invoices for accuracy
  • Verify required benefit notices, wrap documents, SPDs, are updated and distributed to all employees
  • Manage leave administration process in partnership with Tilt

Compliance

  • Ensure compliance with company policies and legal requirements. Stay informed about changes in payroll and labor laws and regulations to ensure the organization's payroll processes remain compliant
  • Maintain compliance with federal, state, and local payroll requirements. Manage correspondence with agencies and resolve any discrepancies
  • Assist in year-end audits (for areas related to payroll and benefits) and tax filings
  • Ensure compliance with benefit plan regulations and reporting requirements

Your experience & qualifications

  • 5-7 years of experience in payroll and benefits administration, including payroll tax compliance, within a multi-state environment (experience with multiple EINs is a plus)
  • Comprehensive knowledge of state and federal payroll laws, with working knowledge of California pay laws required
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred
  • Adaptability to thrive in a fast-paced and evolving work environment, with a proven ability to perform effectively under pressure
  • Experience managing complex multi-state payroll for both exempt and non-exempt employees
  • Ability to handle confidential information with discretion
  • Strong capability to work effectively with all levels of management
  • Proficiency in navigating ambiguity and solving complex problems while collaborating with business partners to achieve shared objectives
  • Experience with Rippling (HR and payroll platform) and Sage Intacct (GL) a plus

Compensation & benefits

  • $80,000- $110,000: Pay for this position will be based on several factors, including, but not limited to: your prior experience and skills related to the position, geographic location, company needs, and current market demands.
