We are seeking a seasoned Executive Assistant / Director of Client Relations to serve as the right hand to our Founder & CEO.
The Role: Operational Nerve Center
This is not a traditional support role. You are the operational anchor and cultural standard-bearer of the practice—protecting the CEO’s time, managing the client experience, and ensuring the business runs with precision.
You Will Wear Two Hats
- Strategic Executive Assistant: Gatekeeping, prioritization, and operational foresight
- Director of Client Relations: Delivering a seamless, high-touch patient experience
Key Responsibilities
- Director of Client Relations (White-Glove Experience)
- Serve as first point of contact for patient inquiries; respond rapidly during business hours
- Oversee concierge intake and onboarding for high-net-worth clients
- Handle sensitive or urgent communications with empathy, clarity, and polish
- Anticipate client needs and resolve issues proactively—solutions, not excuses
- Executive Support to the CEO
- Manage a complex, fast-moving calendar with strategic judgment
- Prepare agendas, briefing materials, and slide decks; track action items
- Support speaking engagements, PR opportunities, and select personal logistics
- Operations & Practice Management
- Manage patient billing, out-of-network reimbursements, and prior authorizations
- Maintain accurate systems across EMR (Practice Fusion), CRM (GoHighLevel), and internal trackers
- Ensure the Midtown office is impeccably maintained and welcoming for VIP clients
- Hyper-responsive: You close loops quickly and understand that silence creates anxiety
- Relentlessly resourceful: You figure things out independently and present solutions
- Exceptional communicator: Warm, firm, polished—across all audiences
- Emotionally intelligent: Calm under pressure; skilled with sensitive mental health concerns
- Tech-savvy: Comfortable optimizing/figuring out workflows with Google Workspace, Asana, EMRs, and AI tools
- 5+ years supporting senior leadership (medical, family office, or luxury settings preferred)
- Comfortable in a high-touch, high-responsiveness role
- Proficient in Google Workspace and Asana; Practice Fusion, QuickBooks, or GoHighLevel a plus
- Hybrid role; must be based in the tri-state area for periodic Midtown (Grand Central) presence
